How to Set Up, Manage, and Fix Your Account

This guide covers everything you need to know about your account, from creating it and customizing your profile to fixing login problems and closing your account when the time comes.

Creating Your Account

Getting started takes just a few minutes. Here's how to set things up:

  1. Visit the sign-up page and select Create Account.
  2. Enter your name, email address, and a secure password.
  3. Check your inbox for a verification email and select the confirmation link inside.
  4. Once verified, log in and you're ready to go.

Tip: Use an email address you check regularly. Security alerts, password resets, and important notifications all go there. A work email is a smart choice if you're signing up on behalf of a team.

You won't have full access until you confirm your email. If the confirmation email doesn't arrive within a couple of minutes, check your spam folder and make sure you didn't mistype your address during sign-up. If the verification link has expired, look for a Resend verification email option on the login page rather than creating a second account.

Exploring the Dashboard

After your first login, you'll land on the main dashboard. Think of it as your home base. It gives you a snapshot of recent activity and quick access to the tools you'll use most.

The navigation menu breaks down into four key areas:

  • Home / Dashboard: A summary of recent activity and quick-access shortcuts.
  • Main Feature Area: Where you'll handle the bulk of your core work.
  • Reports or Analytics: Usage summaries, results, and key metrics.
  • Settings: Account details, notifications, and preferences.

On your first login, spend a few minutes clicking through each section. Start with the main feature area and Settings, then branch out as you get comfortable.

Updating Your Profile

Almost every profile change starts from the same place. Log in, select your name or avatar in the top-right corner, and choose Account Settings from the dropdown menu.

Display Name and Profile Photo

Your display name appears across the platform and in any communications tied to your account. It's what your teammates see, so keeping it accurate and recognizable matters.

To update your display name:

  1. Open Account Settings.
  2. Find the Display name field.
  3. Type your updated name.
  4. Select Save.

To add or change your profile photo, open Account Settings, scroll to the profile photo section, select the upload option, choose an image from your device, and save your selection. A profile photo is especially helpful on a team since it makes your account easier to identify at a glance.

Email Address

Your email address handles login, password resets, and account notifications. Keeping it current is important, especially if you switch jobs or change providers.

To update your email:

  1. Go to Account Settings and find the email field.
  2. Enter your new address.
  3. Check your new inbox for a confirmation link and select it to verify the change.

Your old address stays active until you complete verification, so you won't lose access during the transition.

Managing Notification Preferences

You're in full control of which emails and alerts you receive. From Account Settings, open the Notification preferences section to turn specific types on or off. You can manage notifications for security alerts, product updates, activity summaries, and team collaboration.

Warning: Disabling security alerts means you won't be notified if someone accesses your account without your permission. Leave these on regardless of your other preferences.

Inviting and Managing Your Team

Each person on your team gets their own login. You're never sharing credentials, which keeps things organized and makes it easy to track who made what changes.

To send an invitation:

  1. Go to Settings and select Team or Users.
  2. Select Invite User or Add Team Member.
  3. Enter the person's email address and assign them a role.
  4. Send the invitation.

Note: Only Admin users can send invitations, manage roles, or remove team members. If you don't see these options in your settings, check with your account admin.

Understanding User Roles

Every person you invite needs a role assigned to them. Roles determine what each person can see and do inside the account.

  • Admin: Full access to everything, including account settings, billing, and user management. Reserve this for team leads who genuinely need complete control.
  • Editor: Can create, update, and manage content or data, but can't access sensitive account settings. This fits most active team members doing day-to-day work.
  • Viewer: Read-only access. Great for clients, stakeholders, or anyone who needs visibility without edit permissions.

As a practical example, on a small marketing team, content writers would be Editors, reporting stakeholders would be Viewers, and the team lead would be the sole Admin. When you're unsure about someone's role, start them at a lower permission level. It's straightforward to upgrade their access later.

Updating and Removing Team Members

To update someone's role, go to Settings, open the Team or Users section, find the person, select their name or the edit option, choose the new role, and save.

When someone leaves your team, remove their access right away using the Remove User or Revoke Access option in the same section. A quick access review every quarter keeps your team list accurate and your account secure.

Fixing Login Problems

Before you change anything, run through this short checklist. Most login failures come down to one of four simple causes:

  • Wrong email address. If you have multiple accounts, try switching between your personal and work addresses.
  • Caps Lock is on. Passwords are case-sensitive, so Password1 and password1 are treated as completely different entries.
  • Stale browser autofill. If you recently changed your password, your browser could still be filling in the old one automatically.
  • Unverified account. If you signed up but never confirmed your email, the system won't let you in until you complete that step.

Fixing Outdated Browser Autofill

When you update your password, your browser keeps filling in the old one until you correct it. Here's how to fix it:

  1. Open your browser's Settings and navigate to Passwords or Autofill.
  2. Find and delete the outdated saved entry for the site.
  3. Log in manually and save the new credentials when prompted.

If you use a password manager like 1Password or Bitwarden, update your saved entry there too. Otherwise, the same problem will keep coming back.

Account Lockouts

After several failed login attempts in a row, your account locks temporarily. This is a standard security feature and doesn't mean anything serious has happened. You have two options: wait out the 15-minute lockout period, or reset your password to clear the lockout immediately.

Resetting a Forgotten Password

If you can't remember your password, the reset process is straightforward:

  1. Go to the login page and select Forgot your password?.
  2. Enter the email address linked to your account.
  3. Check your inbox for the reset email and open it.
  4. Select the reset link and choose a new password.
  5. Log in with your new credentials.

Reset links expire 30 minutes after the email is sent. If you request more than one reset email, only the most recent link works. Earlier links are cancelled automatically.

Changing Your Password While Logged In

If you're already signed in and just want to update your password, the process is quick:

  1. Go to Account Settings and open the Security tab.
  2. Enter your current password, then type your new password twice to confirm.
  3. Select Save Changes.

Your new password takes effect immediately.

Lost Access to Your Registered Email

If you can no longer access the email address on your account, the standard reset process won't work. On the password reset page, look for Need more help? and select it to reach the account recovery form.

Include as much detail as you can to help the team verify your identity:

  • The email address you originally used to register
  • Your approximate sign-up date
  • Any billing information associated with the account
  • Your username or the name on the account

The support team reviews recovery requests within one business day. Submit only one request per account since duplicate submissions slow the process for everyone.

Deactivating or Deleting Your Account

These two options work very differently, and choosing the wrong one can cause real headaches.

Deactivation is a temporary pause. Your profile goes hidden and all activity stops, but your data stays completely intact. You can reactivate at any time simply by logging back in.

Deletion is permanent. Your profile and all associated data are removed with no way to recover them.

If you're not completely sure you want to leave for good, deactivation is the safer choice.

Prepare Before You Cancel

Taking a few minutes now will save you a lot of frustration later. Work through this checklist before you start:

  • Export any files, reports, or records you want to keep.
  • Download invoices you may need for tax or accounting purposes.
  • Let your team know so they have time to save their own work.
  • Cancel any active subscriptions or add-ons to avoid unexpected charges.

How to Cancel Your Account

When you're ready to move forward:

  1. Log in and go to Settings.
  2. Select Account from the left-hand menu.
  3. Scroll to the bottom of the page and select Cancel My Account.
  4. Choose a cancellation reason from the dropdown.
  5. Enter your password when prompted to confirm your identity.
  6. Select Confirm Cancellation to finish.

You'll receive a confirmation email within a few minutes. Keep that email as a record that your cancellation was processed.

What Happens to Your Data

Cancelling your account doesn't mean your data disappears right away. Here's the timeline:

  • Your account enters a 30-day grace period after cancellation.
  • During this window, your data is preserved and you can reactivate by logging back in.
  • Once those 30 days pass, your profile and settings are removed from active databases.
  • Backups are retained for up to 90 days before being fully purged.

If you want your information removed entirely from the system, cancelling your account and deleting your personal data are two separate processes. Send an email to [email protected] with the subject line Data Deletion Request, including your account email address and whether you want a full or partial deletion. The privacy team will confirm receipt within 2 business days and complete the deletion within 30 days.
